Office Administrator & Transaction Coordinator
Posted: 01/25/2026We are seeking an experienced and organized Full-Time Office Administrator / Transaction Coordinator to oversee daily office operations and manage real estate transactions from contract to close. This role is essential to supporting our agents, ensuring compliance, and maintaining smooth, efficient office operations in a fast-paced real estate environment.
Pay:
- $15–$20 per hour, based on experience
Key Responsibilities:
- Manage and coordinate real estate transactions from executed contract through closing
- Perform data entry and maintain accurate records in the CRM and MLS Northstar
- Ensure all transaction files are complete, accurate, and compliant
- Assist agents with their clients and transaction files throughout the buying and selling process
- Support real estate agents with daily operations, including assistance with technology as needed
- Create and schedule Facebook and social media posts
- Answer incoming phone calls and provide professional customer service
- Greet walk-in clients and visitors
- Order and manage office supplies
- Assist with general administrative and office management duties as needed
Requirements:
- Active Real Estate License is required
- Prior experience as an office administrator, transaction coordinator, or similar role preferred
- Experience with Northstar MLS
- Knowledge of real estate transactions, contracts, and compliance
- Proficiency with Microsoft Word and Excel
- Knowledge of Google Workspace (Gmail, Docs, Sheets, Calendar, etc.)
- Comfortable using social media platforms, especially Facebook
- Knowledge of Canva is helpful
- Strong organizational skills and attention to detail
- Excellent communication and customer service skills
- Ability to multitask, prioritize, and work independently
